Receptionist/Customer Support Representative

Headquartered in Tokyo, Japan, RAYCOP has more than 500 employees and a leading manufacturer of allergen vacuums in Japan with more than 6 million units sold to date. In 2016, RAYCOP strengthened its global presence with the addition of a North American headquarters in San Ramon, CA.

As Receptionist/Customer Support Representative, you will be the first point of contact for our North American headquarters. Main duties will include greeting any visitors that come into the office, answering calls and customer questions, processing phone orders, distributing mail, preparing outgoing packages, and ordering office supplies. A main component of this position will be providing customer support, answering any questions people have about our products and troubleshooting any difficulties they may be experiencing both by phone and email. To be successful in this role, you must be able to communicate effectively with customers, be eager to help and answer questions while maintaining a positive and professional attitude. As our North American team is small, this role may evolve and wear many hats. Flexibility and eagerness to help are desired traits for everyone on our team. This is a part-time position with the potential to be full-time in the future.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Ensure office is tidy and presentable
  • Answer, screen and forward incoming phone calls as necessary
  • Provide customer support (general company questions, detailed product information and troubleshoot issues) by phone and email through Zendesk support software
  • Process phone orders
  • Receive and distribute daily mail/deliveries
  • Prepare outgoing shipments
  • Order supplies and keep inventory of stock
  • Data organization and maintenance
  • Perform other administrative duties as needed

Requirements

  • 2+ years of work experience as a Receptionist, Customer Service Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Experience with Zendesk or similar customer support software preferred
  • Professional and customer service attitude
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills
  • High school diploma required
  • Position is part-time M-F 9:00am – 1:00pm. Flexibility to work additional hours as needed is desired. This position has the potential to be full-time in the future
  •  $15-$19 per hour DOE
  • Benefits not offered for part-time
